I. WHY YOU SHOULD JOIN THIS ROLE:

Playing critical role in enhancing the efficiency of top executives. By meticulously managing and optimizing their schedules, you ensure that these key members can focus on taking actions that generate significant results for the Companys vision to be fulfilled. This role is about strategically allocating time to maximize productivity and impact.

As an Senior Executive Assistant, you become a vital partner in the pursuit of excellence, directly contributing to the company’s success through your proactive and skillful management.

II. KEY ACCOUTABILITIES:

1. The Calendar of Partners and Directors (Your customer) is well-organized in a way that he/she spends most of the time on high-impact or value-added activities, which leads to the achievement of their committed results/KPIs:

a. Time Allocation Excellence

  • Be clear on each persons principles, priorities, and committed KPIs, and organize their schedule accordingly.
  • Proactively ask questions whenever unsure about handling a task, whether ad‑hoc or in regular meetings.
  • Review the Calendar for any misalignments in priorities or time allocation and speak up until resolved.
  • Keep each customers principles clearly and concisely updated on Trello.
  • Ensure all meeting logistics (travel time, rooms, participants, notes) are arranged in advance and aligned with principles.

b. Action Tracking System

  • Maintain a system to track next actions after meetings (especially VDIs) and schedule time for your customer to complete them.
  • Handle all customer requests quickly within the agreed timeframe.
  • Ensure no request is ever missed.

2. Be Champion for VDI Framework Implementation

  • Ensure key conversations between Value Creation Teams and Investees are scheduled and completed.
  • Monitor dashboards, flag missing interactions, and coordinate directly with Investee stakeholders.
  • Drive accountability by initiating resolution when off-track.

3. Efficiency Optimization

  • Continuously identify ways to improve workflows and automate manual tasks.
  • Contribute to a culture of operational excellence and time maximization.

4. Other Duties:

  • Perform additional tasks as assigned by the Line Manager/ Partners.

III. KEY REQUIREMENTS:

a. Background & Experiences:

  • At least 7–10 years of experience as an Executive Assistant, preferably with at least 5+ years in an Executive Assistant cum Project Management role supporting the Board of Directors/CEOs.
  • Expertise in Microsoft Outlook Calendar.

b. Skills & Highlight Competencies:

  • Fluent English (4 skills)
  • Analytical Questioning & Active Listening: Asking smart, deep questions and listen actively to fully understand issues, urgency, and expectations.
  • Project Management: Plan ahead and keep projects/timelines on track.
  • Leadership & Personal Effectiveness: – Proactively hold the Leader accountable for key commitments and follow‑through. – Be assertive when needed — able to say No and hold others accountable respectfully. – Stay calm and steady regardless of others stress or emotional intensity.
